Vacation Request Policy

An addendum to The Minerva Group Employee Handbook

Along with 11 paid Holidays, The Minerva Group has an Open PTO (Paid Time Off) policy. This policy is based on mutual trust and understanding between you and TMG. It gives you opportunities to take time off as you need, as long as job duties are maintained and clients are aware of any time off or are informed of a stand in team member.

For PTO Requests, you are obliged to:

  • Avoid abusing the policy by taking time off that negatively impacts your job and the company.
  • Communicate and collaborate with other team members to ensure everyone takes leave without disrupting operations.
  • Plan to delegate, postpone or otherwise manage projects that will be affected by time off.
  • Notify supervisors at least two weeks in advance of any time off.
    • All vacation requests must be sent to the group Vacation’s calendar in Google.
    • Any request for PTO without a 2 weeks’ notice must be cleared by the COO before the request can be made.

Supervisors can consider rejecting vacation requests if:

  • Other team members with similar or complementary duties have already asked for leave during the same time. If multiple staff request the same days off, seniority will be considered.
    • No more than 3 staff may be off on the same days.
  • The time in question is too busy or includes an important deadline for the employee asking for leave.
  • The PTO request is longer than 15 consecutive days.
  • An employee appears to abuse the policy.

The CEO may grant a vacation request outside of this policy on a as needed basis and at their sole discretion.
